To provide our services, we process personal data. You can read more about that here. The processing of personal data is primarily governed by Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR).
1. PERSONAL DATA PROCESSING
A) Processing of Personal Data When Using the Contact Form
If you inquire about our services, we will work with the contact details you provide, mainly through our inquiry form, email, or phone. This includes:
- Name, surname
- Phone number
- Your requests or questions regarding our services
- Other data you provide in the inquiry or share later as part of the arrangement.
Why do we need it?
We will use these details to contact you and arrange further information about our services.
On what legal basis?
Under Article 6(1)(b) GDPR – processing necessary for steps taken at your request prior to entering into a contract.
How long do we keep this data?
If we do not proceed to further collaboration, we will process your data for at most 6 months from our last communication.
B) Processing of Personal Data If We Begin Collaboration
If we agree to work together, we will process the data exchanged when ordering services. This primarily involves billing and contact information:
- Name, surname
- Phone number
- The therapeutic area for which you are requesting services
- Other information you provide.
Why do we need it?
We require personal data to fulfill our contract—this allows us to book your session with the selected therapist, communicate with them and with you about service provision, and issue invoices.
We will also process your personal data to meet our legal obligations (particularly accounting and tax obligations, as well as handling any complaints or similar matters).
On what legal basis?
Under Article 6(1)(b) GDPR – performance of a contract, and Article 6(1)(c) GDPR – compliance with legal obligations.
How long do we keep this data?
For the duration of the service provision and then for 10 years following the last service provided.
C) Processing of Personal Data for Consultations and Therapy
During consultations and therapy, we work with the data you provide either in your user profile (if you have one) or via email or in person at our office. This includes:
- Your name, surname, and email
- The area in which you seek consultations and therapy
- Information about the use of our services, your booked appointment times, and your assigned therapist.
- Any personal information you share during consultations and therapy.
We guarantee that the personal data disclosed during consultations and therapy are kept secure and strictly confidential in accordance with our professional duty of confidentiality.
Why do we need it?
We need to process this data to fulfill our contract—communicating with you and providing the agreed services.
On what legal basis?
Under Article 6(1)(b) GDPR – performance of a contract.
How long do we keep this data?
For the duration of our service provision and then for 5 years after the last service provided.
In certain situations, you may share with us personal data classified as a special category (e.g., information about your health, sexual orientation, etc.). Without your prior consent, we will not systematically process these data for any additional purposes.
D) Newsletters
If you subscribe to our newsletter or if you already use our services and have not opted out, we may use your email address to send interesting information and updates related to mental health.
On what legal basis?
- If you subscribed to the newsletter, it is processed based on your consent under Article 6(1)(a) GDPR.
- If you are already our customer, we are permitted to send newsletters under Section 7(3) of Act No. 480/2004 Coll., on Certain Information Society Services, provided you have not declined such emails.
Consent is voluntary and can be withdrawn at any time.
How long do we keep this data?
For 2 years after the consent is given or after your last purchase. You can unsubscribe at any time by clicking the unsubscribe link in the newsletter or by contacting us at info@psychoterapievacek.cz.
2. WHO HAS ACCESS TO YOUR DATA?
Your data remains with us. However, we employ certain companies or self-employed individuals who may have access to the data because they help us run our company or provide our services. These include:

If you are a client of Canadian Medical s.r.o. and they cover the cost of services you receive from us, we will provide them with your name, surname, and the scope of services rendered for billing purposes. Canadian Medical s.r.o. acts as an independent controller of personal data, and the extent of any additional processing is governed by its own data processing policy.
3. USER ACCOUNT
You can create and manage your reservation through a user account in the Reenio booking system.
For setting up this account, we process your email address and password. Creating and managing reservations through a user account is entirely voluntary; thus, it is based on your consent, which you can withdraw at any time.
Within your account, we store records of the services used and any personal data you add to your profile.
We will keep and use your personal data for the duration of your account usage and our service provision. We will deactivate the account and delete the data 5 years after your last service from us or your last login. If you wish to delete your account sooner, please let us know; we will assist you.
4. YOUR RIGHTS REGARDING PERSONAL DATA PROCESSING

We do not have a Data Protection Officer appointed.
We process personal data within the European Union.
We do not engage in automated decision-making or profiling.
Under the GDPR, you have the right to:
- Request information about which personal data of yours we process
- Request access to this personal data and have it updated or corrected
- In certain situations, request restriction of processing
- Request a copy of the processed personal data
- Request erasure of personal data in certain cases
- Exercise the right to data portability in certain circumstances
Consents you have given are revocable at any time. You may also object to processing based on legitimate interests.
If you believe we are handling your data improperly, you have the right to lodge a complaint with the Office for Personal Data Protection (Úřad pro ochranu osobních údajů) or pursue your claims through the courts.
